Refund & Cancellation Policy
Transparent terms regarding course enrollments, cohort seat reservations, and rescheduling requests.
1. Overview of Educational Capacity Constraints
Because all Next Harbor Base bootcamps and workshops are strictly limited to small groups (capped at 14 students for the flagship Bootcamp and 20 students for weekend intensives), late cancellations directly prevent other prospective students from attending. Our refund policies reflect the operational reality of reserving limited instructor time and studio resources.
2. Refund Eligibility & Timeframes
- Full Refund (100%): Written cancellation notice received at least 14 calendar days prior to the scheduled cohort start date.
- Partial Refund (50%): Written cancellation notice received between 7 and 13 calendar days prior to the cohort start date.
- Non-Refundable Window: Cancellations received less than 7 calendar days before the start date, or after course instruction has commenced, are non-refundable.
3. Rescheduling & Cohort Transfers
We understand that unavoidable professional or personal scheduling conflicts arise. Enrolled participants may request a one-time cohort transfer to the next scheduled cohort date without penalty, provided written notice is submitted at least 7 calendar days before the original cohort start date.
4. Non-Refundable Items & Work Already Started
The following items and services are non-refundable once delivered or accessed:
- Physical Gap Reference Manuals once shipped or handed over at the Chiang Mai studio.
- Completed 1-on-1 private mentoring sessions or trade journal audits that have already taken place.
- Administrative seat deposit fees when explicitly designated during customized private mentorship arrangements.
5. Participant No-Shows & Missed Sessions
If a student fails to attend live sessions or does not log into the streaming classroom without prior communication ("No-Show"), tuition is non-refundable. For cohort bootcamp participants, high-definition recordings of all missed group sessions remain available in the student archive for 90 days.
6. Instructor-Initiated Cancellations
In the rare event that Next Harbor Base must postpone or cancel a workshop or cohort due to instructor illness, severe weather, or unforeseen operational disruption, enrolled students will receive the immediate choice of either a 100% full refund or guaranteed priority placement in the rescheduled cohort.
7. Refund Request & Processing Procedure
To submit a refund or rescheduling request, please email our administrative team at info@nextharborbase.click with the subject line "Refund Request - [Your Full Name] - [Program Name]".
Approved refunds are processed within 5 to 10 business days using the original payment method. For international bank transfers, standard intermediary bank processing times and foreign exchange conversion rates will apply.
